When Shelbyville Central School district in Indiana reached out to Sharp, they were looking to modernize their printer fleet and reduce spending at the same time. Sharp implemented a refreshed fleet of printers on a managed print services program that was able to save the school thousands of dollars each year.

Here’s how Sharp was able to save the district over $4,000 a month in printing costs.

Printing challenges faced by the education system

Summary:

  • Need to modernize output devices
  • Desire to reduced spending
  • Threat of security breach
  • Print environment audit needed

Shelbyville Central was initially concerned with the security, cost and performance of the printers across their district. Each classroom in the schools had their own printer at a total of 360 devices. Sharp conducted a print audit or an enterprise document profile (EDP), the EDP analysis uncovered that the “fleet of output devices [were] redundant, costly, unreliable and vulnerable to security breaches”

Printing solutions offered by Sharp

Summary:

  • Refresh the fleet with printers that suit
  • Upgrade the data security kits
  • Implemented a managed print service
  • Digitize records

Sharps first move was to remove all fax machines (120) and replace them with 43 MFP’s with Sharp’s data security kit encryption. Then a managed print services (MPS) program was implemented in order to track output and reduce costs. The Sharp OSA platform allowed Sharp to integrate a document management system in order to digitize student records dating back to 1890 and allow for digital transcripts.

Results of Sharp’s solutions

Sharp’s fleet refresh and MSP program implementation saved the school system $4000 a month and allowed for a secure digital fleet.  Sharp also provides the school with proactive servicing of their MFP’s prior to the school year.

Sharp impressed Shelbyville so much that the school system invested in AQUOS BOARD interactive display systems. This technology allows schools to have interactive collaboration during faculty meetings.
