How your business size dictates your office automation equipment

The size of your business

Would you categorize your business as a small, medium, or large company? The size of your company is the important starting point when looking at what equipment you will need to outfit your office. The number of employees coupled with the page per minute use per day will determine what category of equipment you should be looking at.

The average page per minute is between 20 and 40 ppm, while anything higher than 40 ppm would generally be reserved for a business with high volume output. The number of sheets your printer can hold should also be more than what your office prints in a day. When it gets down to it, how often do you really want to be replacing that paper daily? Anticipated paper usage will also give you an idea of how much engine speed you will need. The number of anticipated ppm will also dictate how much memory you will need. When looking at cost, it should be noted that higher end models generally have the ability to add memory expansion.

 

Who will be using the equipment and how much?

By assessing how many people will be using the printer or copier daily, you will be able to assess how a new machine would best fit in your office. If you are only looking to print in black and white, you can look at monochrome printer/copier to satisfy your budget.

If you foresee a large amount of people using the equipment daily, you need to make sure not to overwhelm your printer/copier with your office demands- if everyone will be using one machine for every task, it may overwhelm the machine. One solution for this is a tandem system, whereby two machines are connected to the same network and are able to deliver results similar to one large printer/copier.

 

Let’s talk cost

The cheapest printer/copier does not equal the most cost effective. When looking at how much you want to spend on the equipment, you should consider all components, not just the initial buy. By searching out the cheapest priced products, you run the risk of hidden costs including more expensive ink or toner. If you expect to print a significant amount, this model does not benefit your business.
